What Is an ATS and Why Does It Matter?
An Applicant Tracking System (ATS) is software that employers use to collect, sort, and screen job applications before a recruiter reviews them. Studies estimate that 99% of Fortune 500 companies and 75% of all employers use ATS software. If your resume is not formatted correctly, it gets rejected automatically โ even if you are perfectly qualified for the role.
Use a Clean, Single-Column Layout
ATS parsers struggle with tables, columns, text boxes, headers and footers, and graphics. Use a clean single-column layout with standard section headings like Experience, Education, and Skills. Save your resume as a .docx or PDF (check the job posting โ some ATS systems handle PDFs better than others). Avoid fancy templates from design sites โ they look great to humans but confuse parsers.
Mirror the Job Description Keywords
ATS systems rank resumes by how well they match the job description. Read the job posting carefully and identify the keywords โ both skills and phrases. If the job says "project management" three times, use that exact phrase, not just "managing projects." Include both spelled-out terms and abbreviations where relevant (e.g., "Search Engine Optimization (SEO)"). Use keywords naturally in the context of your experience โ do not just list them at the bottom.
Use Standard Section Headings
ATS parsers are trained to look for specific section names. Stick to: Work Experience, Education, Skills, Certifications, and Summary. Creative headings like "My Journey" or "What I Bring" can cause the parser to miss important sections entirely. If you want to stand out creatively, save that for your cover letter or portfolio.
Quantify Every Achievement
Once you pass the ATS, a recruiter typically spends 6โ10 seconds on a first scan. Numbers stop the eye. Instead of "managed a team," write "managed a team of 8 engineers." Instead of "improved sales," write "increased quarterly sales by 34%." Every bullet point should answer the question: so what? If you struggle to find numbers, estimate ranges honestly โ "reduced processing time by approximately 30%" is better than a vague claim.
Tailor for Every Application
A generic resume underperforms a tailored one dramatically. For each application, spend 10 minutes adjusting your summary and top bullets to match the specific role. Prioritize the skills and experience most relevant to that job at the top. AI tools like AI Tailor Resume can analyze the job description and rewrite your resume bullets to match the most important keywords automatically.
